Administrative Support Specialist (Remote, W-2)About CouchSide Coordinators

CouchSide Coordinators is a boutique virtual support agency specializing in helping therapists, private practice owners, wellness providers, and female entrepreneurs streamline the administrative side of their businesses. Our mission is to reduce operational overwhelm by providing personalized, high-quality support that allows our clients to focus on the work they do best.

Unlike large virtual assistant agencies, we intentionally provide a high-touch experience. Each client is paired with one dedicated Administrative Virtual Assistant who serves as their primary point of contact and learns the unique needs of their practice.

Position Overview

We are seeking a detail-oriented, proactive Virtual Assistant to join our growing team.

This is a remote W-2 position ideal for someone who enjoys independent work, values flexibility, communicates professionally, and thrives when building long-term relationships with clients.

Our VAs support therapists and small business owners with a variety of administrative tasks, systems management, client communication, and operational organization.

This position is not designed for individuals seeking full-time employment or a short-term side hustle. We are looking for professionals interested in building lasting client relationships and contributing to a collaborative team environment.

Responsibilities

Responsibilities may include:

- Email and inbox management

- Calendar and scheduling support

- EHR management (SimplePractice, Jane App, TherapyNotes, etc.)

- Client onboarding and offboarding support

- Document organization and file management

- Form creation and updates

- Workflow and systems organization

- Data entry and database management

- Communication with clients via email

- Maintaining confidentiality and HIPAA compliance

- Supporting practice operations and administrative projects

Qualifications

Ideal candidates will have:

- Previous administrative assistant, executive assistant, project coordinator, office manager, virtual assistant, or similar experience

- Excellent written and verbal communication skills

- Strong organizational and time management abilities

- Ability to work independently and manage multiple priorities

- Attention to detail and follow-through

- Comfort learning new software and technology platforms

- Professional, client-focused communication style

- Reliable internet connection and private workspace

Preferred Qualifications

- Experience supporting therapists, healthcare professionals, or private practices

- Familiarity with HIPAA compliance

- Experience with EHR systems

- Remote work experience

- Experience managing client relationships independently

Schedule & Compensation

- Remote W-2 position

- Flexible scheduling

- Minimum commitment of 10 hours per month, provided work is available

- Workload varies based on client needs and monthly service packages

- Most client communication occurs during standard business hours (Monday-Friday)

- Employees are expected to maintain a two-business-day response time for client and team communication
