Liberty Events is a boutique event management company that has had long term clients for over 20 years. We pride ourselves on having an excellent reputation in the industry with exceptional customer service and attention to detail. We take a personal approach to our events and aim to exceed client expectations every time. We work with clients from a range of industries. Our events can include small 25 person meetings, multi-day Conferences for 400 pax with team dinners and team building activities, as well as Gala awards dinners and speaker roadshows. We are passionate about executing a seamless and professional experience for both clients and attendees.
About the role
We are looking for a passionate, reliable and dynamic individual who will be able to support the business, with a range of tasks. You will work directly with the company’s two Directors, who together manage all of the clients, and you will be heavily involved in the end-to-end coordination of a range of conferences and events.
The role is full time, although we can be flexible for the right candidate. This is a remote role, so the candidate must have a suitable home office space.
You will be expected to maintain exceptional standards of client service and take personal responsibility in ensuring events are executed at the highest standard. You may be asked to join meetings with clients where required and represent Liberty Events in a professional manner.
There may be some occasional evening and weekend onsite event work and meetings, which we will provide advance notice of.
Duties of the Events Coordinator:
- Managing operational and administrative functions to ensure each event is a success
- Registration site creation & delegate management (using conference management systems EventsAir and Cvent)
- Booking of flights, transfers and accommodation for attendees
- Researching venues, suppliers and sourcing quotes in relation to a specific event
- Creation of proposals and venue documents for clients
- Supporting with speaker & basic AV requirements
- Supporting with sponsorship requirements and liaising with sponsors
- Supporting and updating project plans and event timelines
- Post review of events and creating required reports and feedback/lessons learnt
- Support Liberty Events with general admin duties, and tasks required for the function of the business and maintaining client relationships
- Assist with any additional responsibilities as reasonably required
We are looking for a team member who has the following attributes:
- Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint, Teams)
- Previous Event Coordinator experience within an Event Management company
- Qualifications in event management, hospitality, business or similar desirable
- EventsAir and/or Cvent experience required
- Enthusiastic, self-motivated and can manage their own time efficiently
- Highly methodical, accurate and detailed
- Exceptionally organised with excellent written and verbal communication skills
- Knowledge of hotels, venues, Australian destinations, AV and event suppliers desirable
- Able to prioritise and balance several tasks (will be working on multiple projects at the one time)
- Able to adapt and creatively solve problems
- Able to accept responsibility and be decisive
- A pro-active approach to all tasks and offering ways to improve processes
