Online Menopause Centre (OMC) is a leading specialist menopause clinic providing expert, evidence-based care to women across the UK. Our team is passionate about delivering outstanding patient experiences and helping women access the support and treatment they need throughout perimenopause and menopause.

We are seeking a highly organised and proactive individual to support our clinical team during a maternity leave period. Applications are welcomed from experienced Medical Secretaries as well as candidates with strong transferable skills who are eager to learn and develop within a healthcare environment. This is a busy and varied role that combines medical secretarial duties with patient liaison, appointment management, clinical administration and operational support.

As a small and close-knit team, we all work together, support each other and aren't afraid to get stuck in when needed. We're looking for someone who enjoys being part of a collaborative environment where everyone contributes to delivering exceptional service and achieving great results.

The Role

As the first point of contact for many patients, you will play a key role in ensuring a seamless patient journey from initial enquiry through to ongoing care.

This position would suit someone who is confident, compassionate and commercially aware, with either experience in a private healthcare environment or a genuine interest in menopause and women's health.

Key Responsibilities

• Managing inbound telephone, email and WhatsApp enquiries

• Supporting patients through the booking process

• Explaining clinic services and treatment pathways

• Converting enquiries into booked consultations

• Handling patient queries professionally and efficiently

• Managing clinician diaries, appointments and recalls

• Coordinating patient investigations, blood tests and follow-up activity

• Processing clinical correspondence, results and documentation

• Liaising with clinicians, pharmacies, laboratories and external providers

• Maintaining accurate patient records and administrative systems

• Producing reports and supporting administrative projects as required

• Supporting patient education initiatives, webinars and wider clinic activities

• Supporting the wider clinical team with day-to-day operational tasks

About YouEssential

• Previous experience as a Medical Secretary within private healthcare, OR significant transferable experience in a fast-paced administrative, secretarial, customer service, or client-facing role, with excellent organisational skills, attention to detail, and a willingness to learn.

• Excellent telephone manner and communication skills

• Strong administrative and organisational abilities

• Comfortable working independently in a fully remote environment

• Confident discussing private healthcare services and fees

• Able to handle objections and concerns from prospective patients professionally and empathetically

• Strong IT skills, Microsoft Office and digital platforms

• Comfortable learning and embracing new technologies, including AI tools, to improve efficiency, productivity and patient experience

• Highly organised with excellent attention to detail

Desirable

• Experience or interest within menopause, women's health, gynaecology or hormone health services

• Experience using patient management systems

• Experience working within a specialist clinic environment

• Familiarity with remote consultation services

• Understanding of the patient journey within private healthcare

What We're Looking For

The successful candidate will be able to balance empathy with efficiency. Many of our patients contact us feeling frustrated, unheard or uncertain about seeking private healthcare. You must be confident building rapport, explaining the value of specialist care and helping patients make informed decisions about booking consultations.

This is not a hard-sales role; however, you should be comfortable discussing fees, overcoming objections and communicating the benefits of our services in a professional and patient-centred manner.

We are also looking for someone who is proactive and embraces technology. As a modern, remote healthcare business, we continually look for ways to improve efficiency and patient experience through digital systems and AI-enabled tools. An interest in innovation and a willingness to learn new platforms would be highly valued.

Working Hours

Monday to Friday

9:00am – 5:30pm GMT

Fully remote - Full-time position

While this role is offered on a fixed term maternity cover contract, we are seeking a candidate who is interested not only in the immediate opportunity but also in the potential to grow with the business.
