1. About Our Client:

The organization operates as a Management Services Organization (MSO) supporting a national partnership of orthopedic practices. It provides physicians with capital, operational resources, and administrative infrastructure to help grow and maintain efficient practices focused on patient care. Headquartered in Stamford, Connecticut, the network spans the Northeast with over 165 physicians, 1,800 employees, 285 clinical providers, and 40 locations across New York, Connecticut, Rhode Island, and Massachusetts.

2. About the Opportunity:

The Call Center Agent plays a vital role in ensuring smooth clinical and administrative operations by managing patient communications and scheduling. This position supports providers and the care team by handling high-volume calls, maintaining accurate patient records, and facilitating appointment scheduling. The role contributes directly to the patient experience and supports the efficiency of the orthopedic and spine specialists’ practice.

3. Responsibilities:

• Coordinate scheduling and communication between physicians, team members, and patients

• Create, update, and maintain confidential patient information in the Electronic Medical Record (EMR)

• Serve as primary contact for provider correspondence and patient inquiries

• Manage high volume inbound and outbound patient calls promptly

• Obtain and update patient demographic and insurance details in EMR

• Verify insurance, secure authorizations or referrals, and inform patients of requirements

• Schedule patient appointments according to provider availability

• Ensure accuracy and completeness of patient records

• Collect copayments and inform patients of out-of-pocket costs

• Retrieve and respond to messages from voicemail, email, and EMR

• Document patient encounters and route as needed

• Manage prescription refill requests and verify pharmacies

• Assist patients with Patient Portal troubleshooting

• Conduct daily chart reviews for upcoming appointments to verify details and insurance eligibility

• Monitor provider schedules and block times as necessary

• Process orders, obtain authorizations, and route appropriately

• Collaborate with front desk and provide cross-coverage support

• Receive and route faxes appropriately

• Communicate effectively with physicians, advanced practice providers, medical assistants, schedulers, and administrative staff

• Monitor telephone flow and provide assistance as needed

• Reschedule patients and manage waitlists

• Perform other duties as assigned by management

4. Requirements:

• High School Diploma or equivalent

• Minimum two years of administrative experience in a healthcare-related field

• Ability to multitask, work independently, and complete duties efficiently

• Strong problem-solving skills and customer service orientation

• Proficient in Microsoft Word, Excel, and PowerPoint

• Organized and cooperative under pressure

• Effective team player with strong communication skills and ability to meet deadlines

5. Pay Range and Compensation Package:

• $18.85 to $23.55 hourly
