Key Responsibilities:
- Project Support: Assist the Project Manager and senior project coordinators in organizing, planning, and executing projects from start to finish.
- Scheduling & Coordination: Help schedule project meetings, manage calendars, and track project timelines and milestones to ensure tasks are completed on time.
- Documentation: Maintain and organize project documentation, including project plans, status reports, and meeting notes. Ensure all relevant documentation is up to date and accessible.
- Communication: Act as a point of contact for project team members, stakeholders, and vendors. Ensure clear and timely communication between all parties.
- Resource Management: Assist with tracking resources and ensuring that all team members have the tools and information they need to perform their tasks effectively.
- Issue Tracking: Support the identification and resolution of project issues, risks, and blockers, escalating where necessary.
- Status Reporting: Prepare and assist with regular project status updates and reports, providing visibility on progress, risks, and action items.
- Team Collaboration: Work closely with cross-functional teams (e.g., Development, Operations, Marketing, Sales) to support project execution and deliverables.
- Project Administration: Help manage the administrative aspects of the project, including updating project management software, creating reports, and handling logistics.
- Continuous Improvement: Contribute to improving project management processes, identifying areas for optimization and efficiency.
Key Requirements:
- Experience: 0-2 years of experience in project coordination, administration, or a related role. Internship experience in project management is a plus.
- Education: A degree in Business Administration, Project Management, or a related field is preferred. Project Management certifications (e.g., CAPM, PMP) are a plus but not required.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
- Communication Skills: Excellent verbal and written communication skills with the ability to work with both technical and non-technical stakeholders.
- Attention to Detail: High attention to detail in handling project documentation, scheduling, and task management.
- Problem-Solving: Strong analytical and problem-solving abilities with a proactive approach to identifying and addressing project challenges.
- Tech-Savvy: Familiarity with project management tools (e.g., Trello, Asana, Microsoft Project) and productivity software (e.g., Microsoft Office Suite, Google Workspace).
- Team Player: Ability to work effectively as part of a team and build strong working relationships with various departments and stakeholders.
Preferred Skills:
- Project Management Tools: Experience with project management software (e.g., Jira, Monday.com, Smartsheet) is a plus.
- Agile/Scrum Methodology: Basic understanding of Agile or Scrum methodologies is an advantage.
- Time Management: Ability to manage time efficiently, ensuring that project deadlines are met and priorities are balanced.
- Basic Financial Understanding: Understanding of budgeting and resource allocation for small-scale projects is a plus.
