The Qwik Group is seeking a highly organized and proactive Executive Assistant to support the founder and leadership team across administrative operations, investor relations, scheduling, communications, document management, and strategic coordination. Executive Assistant Focus Areas
We are especially interested in candidates with experience in one or more of the following areas:
- Executive administration and founder support
- Investor relations coordination
- Calendar management and meeting scheduling
- Email organization and communication follow-up
- Investor pipeline tracking and CRM updates
- Document preparation, filing, and organization
- Meeting notes, action items, and follow-through
- Board, advisor, and stakeholder communications
- Startup operations and fast-paced administrative support
- Fundraising, capital raising, or investor communications support
Key ResponsibilitiesAs Executive Assistant, you may:
- Manage the founder’s calendar, scheduling, meetings, and follow-up items
- Coordinate investor calls, advisor meetings, and partnership discussions
- Prepare and organize investor materials, meeting notes, and follow-up communications
- Track investor outreach, responses, next steps, and relationship status
- Help maintain CRM records, contact lists, investor pipelines, and internal trackers
- Draft, proofread, and organize professional emails, memos, and documents
- Support preparation for board, advisor, investor, and strategic partner meetings
- Coordinate travel, events, executive meetings, and company presentations
- Maintain organized digital files, documents, agreements, and company records
- Help leadership stay organized across fundraising, partnerships, operations, and growth initiatives
- Handle confidential information with discretion and professionalism
The ideal Executive Assistant is highly organized, trustworthy, and able to anticipate needs before they become urgent. This person should be comfortable working directly with a founder and helping keep important investor, partner, and operational workflows moving forward.
QualificationsStrong candidates may have:
- Experience supporting executives, founders, investors, or senior leadership
- Strong organizational, scheduling, and communication skills
- Experience with investor relations, fundraising support, or stakeholder coordination
- Ability to write clear and professional emails and follow-up messages
- Strong attention to detail and ability to manage multiple priorities
- Familiarity with Google Workspace, Microsoft Office, DocuSign, CRM tools, and project management platforms
- Ability to handle sensitive and confidential information
- Strong judgment, professionalism, and follow-through
