Key Responsibilities

Procurement & Purchasing

  • Lead purchasing of raw materials, packaging, ingredients, and supplies, and assist in sourcing of new suppliers & materials
  • Create, maintain and manage purchase orders (POs), track status, and follow up on delayed orders
  • Monitor supplier performance (lead time, quality, cost)
  • Participate in supplier onboarding and documentation (e.g. contracts, certifications, quality standards)
  • Collaborate with finance & accounting to reconcile PO variances and invoices

Inventory Management

  • Track and maintain accurate inventory records of all raw materials and finished goods (ice cream SKUs)
  • Perform regular variance investigations, and reconciliation of both raw materials and finished goods
  • Monitor minimum and maximum stock levels, alerting when reorders are needed
  • Support Chief Operating Officer in production and demand planning

Logistics, Fulfillment & Distribution

  • Lead fulfillment process including acknowledgement, recording and tracking of weekly distributor POs
  • Coordinate with 3PLs and co-manufacturers to manage inbound supplier shipments, storage, and outbound finished good fulfillment
  • Monitor performance metrics (on‑time deliveries, fill rates, distributor stock status, transit times, damage rates)
  • Assist in logistics & 3PL management including following routing and distributor guides, carrier selection, rate comparisons, freight terms

Operations Administration & Reporting

  • Maintain and update inventory management systems & dashboards
  • Support process documentation, standard operating procedures (SOPs), and continuous improvement efforts
  • Assist in cross-functional meetings and act as liaison among supply chain, operations, production, sales, and finance
  • Manage administrative tasks associated with operations (filing, correspondence, tracking spreadsheets, etc.)

Relationship & Supplier Management

  • Build and maintain strong working relationships with suppliers, co-manufacturers, and 3PL providers
  • Serve as a point of contact for vendors, escalate issues, track resolutions
  • Participate in regular vendor, co-manufacturer and 3PL meetings and follow up on action items

Required Qualifications & Skills

  • Bachelor’s degree (in Business, Supply Chain, Operations, or related field) preferred (or equivalent experience)
  • 0–2 years of relevant experience (internships or prior CPG / operations exposure a plus)
  • Strong attention to detail — high accuracy when handling numbers, data, and documentation
  • Ability to analyze data, generate insights, and suggest improvements
  • Excellent organizational and multitasking skills
  • Good written and verbal communication skills
  • Comfortable working in spreadsheets and learning new inventory/ERP/warehouse management systems
  • Problem-solving mindset; ability to escalate or find workarounds when needed
  • Ability to coordinate across internal teams and external partners
  • Eagerness to learn, adapt, and improve processes in a fast-paced environment
  • Proficiency in Microsoft Excel a plus
