We are seeking a highly organized Project Coordinator to support a large-scale network technology refresh across a regional hospital group with multiple sites. This is an 18-month contract role that needs to be filled as soon as possible. Working remotely, you will coordinate the day-to-day logistics of refreshing wireless, switching, routing, and voice (phone) infrastructure which includes scheduling resources, tracking field work, and driving projects as part of a PMO cleanly through to billing closeout.
The standard schedule is Monday through Friday, 8:00 AM to 5:00 PM, with occasional on-demand after-hours and weekend support required to align with maintenance windows and minimize disruption to hospital operations.
Key Responsibilities
- Coordinate and schedule technical resources, field engineers, and subcontractors for network refresh activities across multiple hospital sites.
- Manage resource logistics including staging, shipping, and on-site delivery of equipment — to ensure teams and materials arrive when and where needed.
- Plan and communicate work around hospital maintenance windows, including after-hours and weekend cutovers, to minimize impact on clinical operations.
- Document field work in detail, capturing site status, completed tasks, issues, and change orders.
- Track project progress against schedule and proactively flag risks, delays, or resource conflicts.
- Own the billing closeout process verifying completed work, reconciling documentation, and preparing project records for invoicing.
- Maintain accurate, up-to-date project trackers and reporting in Excel and Smartsheet.
- Serve as a central point of contact between field teams, project management, vendors, and hospital site stakeholders.
- Provide responsive, on-demand support during critical implementation windows as needed.
Required Qualifications
- Proven experience in project coordination, scheduling, or resource logistics ideally within IT, network deployment, telecom, or field services.
- Strong technical proficiency with office productivity applications, particularly Microsoft Excel and Smartsheet.
- Familiarity with general Cisco products and technologies (wireless, switching, routing, and voice/phone systems).
- Excellent organizational skills with the ability to manage multiple sites, resources, and timelines simultaneously.
- Strong written and verbal communication skills, with meticulous attention to documentation accuracy.
- Ability to work independently in a remote environment and remain responsive during after-hours and weekend support windows.
- Comfortable operating in a fast-paced environment with shifting priorities and tight timelines.
Preferred Qualifications
- Prior experience supporting network refresh, rollout, or infrastructure deployment projects.
- Experience working in or with healthcare / hospital environments and an understanding of the sensitivity of clinical operations.
- Familiarity with billing/closeout and invoicing workflows for project-based work.
- Experience coordinating drop-ship logistics and equipment tracking with distributors or vendors.
